Budget Meeting w/ John & Helen @ 10:00 am 3/13, 4311 SE Cora
Executive committee is John Lorentz Kristy Bates John Andrews Helen Umberger Randy Fischer Diana Callahan
Meeting Started at 2:15pm
In attendance: Kristy Bates, Helen Umberger, Diana Callihan, Megaera Jarvis, Debra Stansbury, Fred Torck, Barbara Oldham, John Bunnell, Jerry Turner, John Andrews, Pamela Wilsonsage, James Wilsonage, Randy Fischer.
Art Show- Norwescon has not sent out invites for their Art show yet. It is likely that they may not be having an art show this year. If Norwescon does not have an art show this year, the impact is likely that OryCon will sell out faster than usual. Usually, OryCon sells out in September or October. Art show info will be on line at our web site. www.orycon.org/~orycon21
Programming - The brainstorming session scheduled for March 14th was canceled. We will announce when it is rescheduled. The first brainstorming sessions is to weed out the dead and the dead-beats. The second brainstorming session will involve re-vamping the questionnaire. Please send all new program panel suggestions to Andrew or Ruth.
Openings- Masquerade: Position for department-head is still open. Don Glover has been asked, but no response yet.
GOH: Liaisons are still needed for all GOH. Job duties: primarily involve transportation to and from the airport and an occasional trip around town. As the primary contact for the GOH you must collect photos for the Program book, find out who they want to write their bio, work with programming to coordinate panel participation, make travel arrangements, coordinate and accommodate any special requests for hotel.
Publications: the department is pretty well staffed, but we're still looking for someone to steer the reigns.
Children's Programming- The web site has info on the Mars Society letter, which will take place primarily *before* the convention. The convention has a definite need for programming geared towards children. Frequently items that are popular to the kids, are equally as appealing to the "adults", and, unfortunately we can't restrict which convention members attend panels.
John Brunnel - offered to promote writers workshop towards Kids.
John Andrews- note: can't exclude adults from kids programming
John Bartley is doing Progress Reports
Dealers Room- still sold out.
Dept Reports: Hotel- Diana Callihan- report we have rooms. Just call the hotel and let them know that you're part of the con Block. Room rate is the same as last year, however, the tax has increased.
Hall Cotumes- Megaera Jarvis - buget same as last year. Looking for suggestions for creative (yet usefull) awards.
Opening Ceremonies- Debra Stansbury- will have one. The original idea of "the alien full-montey" has been tabled. The new idea is "scenes on the cutting room floor: Phantom Menace"
Logistics- Fred- nothing yet. Ask again in October. FYI- apprentice needed.
Security - will be selecting staff members to be shift leaders.
Tech - do we want pagers again? Last work they were not up to the job, look into message pagers, cell phones, or radio's for con-com staff.
Child-care - tabled for an off line executive committee meeting, need to decide on hourly price, and policies.
Writers workshop - No change to budget. Well try to revive the young writer categories. Deadlines are in September for entries. This is a one person department, but would like a staff level apprentice so some one else on committee knows how to run department.
Meetings are being posted on the web-site.
Do we want a pool, for our sell out date/time?
Programming - lots of musical guest want-to-be's unfortunately of different musical taste - talked about renting a room in other hotel for a music track that doesn't suck up all programming space. Not realy practical. Also talked about renting a tent or boat --- same old problem lack of space.
