The next OryCon 21 committee meeting will be held Sunday June 6th, 2:00pm

OryCon 21 will be held November 11-14, 1999 at the Doubletree Portland Columbia
River hotel (same hotel as the last dozen years) in Portland.  Guests of Honor are:

Due to the small gathering, reports were given in order around the table:

-Registration - Anne Peck - The numbers "are within spitting distance"
of last year at this time.  Approximately 404 to date
        -Receipting is going to change.  Rather than a form letter,
        post cards will be sent to acknowledge the purchase of pre-reg memberships.             
        -Receipts will be sent sometime this week.

 -Art Show- Lisa Axmaker- the mailing is done.  Everything is ready to
 be dropped off at the post office this week.
        -The on-line forms were sent to Byron this week to be posted to the website.

-Programming- Ruth Satcher- Nothin New- 
          But please- GOH liaisons, ask if they have anyone they'd like
          to invite to programming.  No deadline has yet to be set for the
          brain-storming date,  nor mailing invites.

-Hotel- Diana Callahan - Submit list of "Hotel Needs" by July 1st.
ESPECIALLY if you have anything "new" or "different" from last year.
-Note from John Andrews- room set-up should meet state regulations with
isles wide enough for wheelchairs.  The chairs are frequently positioned
too close together.

-Opening Ceremonies- Debra Stansbury-  Nothing New - shameless plug for volunteers.
                -John Bartley announced that he and Leaha would be
                forwarding a script that they've generated.

-Program Book - Barbara Oldham - No new news- Still questing for the
program book ring-leader....  Any volunteers...?!?!

-Logistics- Fred Tork- OSFCI related:  found a source for some flat-bed
carts with collapsible handles at a reasonable price.  Will be picking
those up soon.

-Science GOH- Megaera Jarvis - Charles Sheffield and Nancy Kress will be
arriving Friday night and staying through Monday.  Charles has asked that
Nancy write his Bio for the program book (tit-for-tat; apparently she owes
him one....).  And, Charles also has need of a participating in a panel
"Borderlands of Science" (something's brewing...!)
        -Ruth offered to get travel agent info to the GOH liaisons, as
        they will be needing it soon.

-PR#1- John Bartley-  PR#1 has not been mailed yet due to a hold up in labels.
Apparently the Dealers are not in the registration database yet (to be
rectified ASAP).  The mock-up is done, however, submissions for the progress
report will continue to be accepted until the labels actually arrive.
ETA= Thursday or Friday, May 6th or 7th. 

-Internet Cafe- John Bartley- An itemized budget request/increase was
submitted.  (executive committee to review)  Fortunately, depending on
vendor contacts, there is some room for "trimming".
        -It would be nice to have a Mac &/or Linux system up and running,
        if there were someone to run it.  Any volunteers?!?!  (Lacey is
        going to check with Erik Gorka and see if he'd be interested in
        donating some of his time to our convention)
        -Some discussion ensued regarding Hotel (room time availability,
        cost of phone lines,etc..)
        -Internet access is possible to any dept that needs it, if you
        notify Internet Cafe sooner rather than later.  Please submit
        requests to Helen or Kristy for consideration.

-Events & Tech- Jerry Turner- Tech is looking forward to hearing from
programming about solid times for equipment and events.  (get those invites out!!)
        -Pagers vs. Radios is still up in the air.  Text pagers are
        considerably less expensive than radios, however, Office would
        need an open phone line all day/night.
        -Hotel will check into that.
        -Still no word on the light-bar & truss (guestimate $400
        for weekend rental)
        -More not so good news: if the DoubleTree insists that we use one
        of their engineers &/or a certified gaffer to hang the stage lights
        (something about OSHA regulations), it will only cost us $85/hour
        with a minimun 4 hours set-up and 4 hours tear-down time.

-Treasury- John Andrews - nothing new to report.

-Mail Room- John Lorentz - "Mail comes in, mail goes out."
        -We may need to work something out in the near future as John's
        job will no longer take him to the Aloha/Hillsboro area (where
        registrations is), but rather to Vancouver.  Congratulations on
        the new job, John!

-Dealers Room - Still sold out.
        -Soon to have all the dealers in the registration database
        ("later this evening")
        -The dealers have requested that the room be opened one hour
        earlier.  Hotel will verify that it's within the contract.  And,
        this might also cut down on the costs of guard rental.
        -Please note, Jeff and Anne have changed ISP.  Their new address is:  jeffnanne@earthlink.net

Artist GOH Liaison- Just an FYI- our artist GOH liaison is Roy Barnes.
A local Portlander.  He's been familiar with Norwescon for many years,
but this will be his first OryCon. Welcome Roy!
