OryCon 21 Meeting Minutes

July 11, 1999  2:00pm

BP Building

In attendance:

Art Show-

-Has sold 40-50 panels, which is average.  The mailing will go out in September.

Chair-

-Scott Sanford will also be doing Artifacts/T-shirts as well as Treasure Hunt.

-We will not use Noble & Associate for night security for Artshow and Dealers room this year.

-Attn:  ALL DEPTS!  Please have the color & number of ribbons you need by the next meeting.

-Game Storm went off swimming!  There will be another next year.  If you'd like to volunteer to

work on the GameStorm2000 ConCom, contact Patrick Laswell.

-Note:  Warning to people on Mobies at the hotel:  Do not back out of the elevator on the upper floor.  It is very close to the stairwell and dangerous. Ground and Lower Level are fine.

-BIG THANKS to everyone who came to the garage clean-up.  We had a great turnout and got a lot done.  Thank you Very Much!

-Suggetion:  add Volunteering for Childrens programming on the next edition of the OryCon21 flyers.

-Jeff & Anne Peck are having computer problems.  If they do not respond to your e-mail, please don't hesitate to call.

-L5 will be having a lecture at OMSI on September 20th with Dr. Robert Hoyt called Applications of Tethers in Space.

Dealers-

-Diana Redhawk will be the Dealers room assistant.

-Forward all dealer info to John Lorentz, in preparation for next years list.

Hotel-

-The jacuzzi outside will be available from 6:00am to Midnight due to the fact that we are booking the entire hotel.

-The hotel has agreed to OVERstaff the coffee garden during the convention.

-Hotel has also agreed to let us use the Quiet Bar for programming from 9:00am to 4:00pm.  The bar will be non-smoking at that time.  Food will be served in there, but they will not supply a waitress.  You are welcome to place your order at the Coffee Garden and they will bring it to you.

-Function sheets and special requests are due by the next meeting, August 15th.

Registration-

-Current count: 525 members, 170 guests have accepted for a total of 695.  About 10% less than last year at this time.

-Be aware, AREACODES are an important part of reg info.  Oregon is splitting it's area codes.

-NEW POLICY:  Badge name changes will not be done on Friday.  Either notify us early, or wait until Saturday.

-All guests badges will be at Pre-reg, not green room, so as to keep better track of them.

Opening Ceremonies-

-Request to do frozen sorbet demo.

Masquerade-

-Don Glover is looking for a Master of Ceremonies.  Suggestions have been made to contact Steve Perry.

Fan Tables-

    -So far, there is only one fan table confirmed.  Now is a great time to put in your reservations in. (Westercon 2001 & WorldCon Bids)

Hospitality-

-The Hotel hasn't signed the liquor license yet.  Diana Callihan will contact the hotel and get that taken care of.

-PLEASE!!!  Everyone start thinking about what kind of cookies you want to make for hospitality for the convention.  Yes, you will be reimbursed.  (KeyLime pies are also acceptable)

-The Joe Clayton Memorial would like to hold a Tea in Hospitality as a fund-raiser.

Logistics-

-Artshow is getting it's own dedicated truck this year.

Office-

-Film will be supplied for the cameras with the plan to take pictures for child care to match parents and children.

Publications-

Ruth will do Pocket Programming

Nightwatch-

Night Office will be run by security if no one else volunteers.

Programming-

First draft of the questionnaire was distributed for review, and will be sent to programming participants ASAP (probably by the time you read this)

Several programming guests have already accepted.  That list will be printed in PR2.

Gaming-

James Wilsonsage will temporarily take LARP info as the Camarilla rep.

A request was made to borrow an easel for posting notes in the gaming room.

Writers Workshop-

Requests the write-up for the PR2 report be posted to the website so people can sign-up for the workshops via the web.

GOH Writer:  Nichola Griffith

-will send bio & pictures by September 1st.  She still needs to figure out her transportation.  She wishes Dave Slesher to be her interviewer.  Requests non-smoking room.

GOH Science:  Charles Sheffield

-Requests a non-smoking room in a quiet wing, and a microphone for all panels.  We already have a hard copy of his bios, photos, & writings.  His main talk will be called The Limits of Science.

GOH Editors: Warren Lapine & Angela Kessler

-Unfortunately, they have had a death in their immediate family and will be in touch with us later.  Their bio writer will be Chris Bunch.

GOH Artist:  Nene Thomas

-We would like to ask her for a piece of artwork for our website, something original.  Also, a request has been made to receive the badge artwork in electronic form.

GOH Music:  A Little Knight Music

-Will be playing at the masquerade intermission.

-Tech:  please be aware that they are a chorus needing mics.
