January 23, 2010

Meeting started at 3:35pm.

Tammy welcomed everyone and let everyone know there is a new department this year (borrowed from Worldcon), a teen lounge - no alcohol - under 21, looking for someone to head.

Bids for Masked Ball - Sent out request for bids. Greater Portland Area Costumers Guild's bid was accepted.

Tammy requested that all departments setup a Workback Schedule listing each department's tasks by date and turn into Tammy by the meeting next month if possible. If anyone has any questions or needs assistance with their schedule please contact Tammy.

Next meeting is February 20th. The March meeting will be at the hotel during the week of the 15th. The list of the meeting dates for the rest of the year is as follows:

Sat, May 15 Sat, Oct 16
week of Jun 14 Sun, Nov 7

It is, of course, subject to change but we will be trying to stick to these. The dates listed as 'week of' will be at the hotel, will be in the evening, and will be during the week. Those dates will be pinned down once the hotel can tell us what rooms they have free and when.

Tammy opened up the floor for discussion and/or questions:

Tammy will have nicer flyers with the official con art work by the next meeting February 20th.

James: How static is the date?
Tammy: If you can't make a meeting, please send your report in to Tammy. Tammy recommended that everyone sign up for the main Orycon list. Meeting announcements and agenda will be sent out to the Con Com list and regular list. Only ConCom gets meeting minutes, but they will be listed on the website.

Vincent: Timelines - where to send?
Tammy: Send to Tammy

Rick: If communications need to happen with other depts. - post out job descriptions plus comments from previous cons to current

Tammy: Please show up or representative in each department for each meeting. Please try to have a backup for each department head.

Tammy gave out her phone numbers to attendees. If you have any questions that can't wait for an email response, please call her. Tammy can be called weekdays between 8am-10pm and weekends 10am-12am (midnite). Please leave a detailed message if you get her voicemail.

Ruth: Are there open departments?
Tammy:

  • Internet Café - Christopher is not planning to run it
  • Dance - Tammy getting resumes from DJ's
  • T-Shirts
  • Teen Lounge

If interested in assisting with any of these departments - please contact Tammy.

Tammy: Flyers, both 11x14 posters and postcards, have been ordered to distribute at events and local venues. Will be available at February meeting. Chad Savage has created a custom piece of art for us. RadCon has our ad. Norwescon will have our ads as well. We will have our ad rates up soon. Rick will be following up with department heads. Starting with info from last year. Rick will update info.

Catherine: Costuming will be doing Barbie contest. Can we list costume exchange early on?
Tammy: Can give info to Rick to set up links.

Dan: Since Andrew is not here, where do we stand with Friends of Filk?
Tammy: Due to FoF funding Tricky Pixie, the special guest for Renovation, funds are limited. They may not have funding to get an artist/group unless they are local.

John Lorentz: The 2010 Annual General OSFCI corporate meeting will be held Monday, February 1, 2010 in the Morrison Room at the Doubletree Lloyd Center Hotel, 1000 Multnomah, Portland, Oregon. (The listing on the board will probably say "OryCon.") Parking is available in the hotel's parking structure, and there will be free parking passes available at the meeting to cover the cost of parking there. The meeting starts precisely at 7:30 PM. Open to everyone even if you are not an OFSCI member. It is the group that provide framework for GameStorm and Orycon.

Sue Renhard: Report - Awesome opening ceremonies meeting this morning.

Kami: Need programming volunteers to work in the green room during con and volunteers that can learn to run the programming software. These volunteers need to be trained in advance. Contact either Kami or Rick if you're interested.

Meeting adjourned at 4:15.
